The HR Operations Associate supports the effective delivery of end-to-end HR operational processes across the employee lifecycle. This role partners closely with internal teams such as HR Business Partners, Payroll, Talent, Benefits, and external vendors to ensure accurate, timely, and compliant HR administration while delivering a positive employee experience.
The role operates in a matrix, international environment and requires strong attention to detail, strong communication skills, a proactive approach to supporting employees and HR stakeholders, and the ability to manage multiple priorities while handling sensitive information with discretion. The role provides exposure to broader HR advisory activities through close collaboration with HR Business Partners.
Employee Life Cycle Management
Act as a first point of contact for employee HR queries, providing clear, professional, and timely response and liaising closely with HR Business Partners on a daily basis.
Support and process employee lifecycle changes such as new hires, transfers, job changes, promotions, and terminations ensuring accuracy and compliance with local requirements.
Prepare, issue, and track employee-related documentation, including reference letters, visa invitation letters, employment confirmations, and short-term work permit letters.
Administer employee benefits and HR policies in coordination with HR Partners and external vendors, ensuring consistent application and clear employee communication.
Coordinate immigration-related processes, including work permit applications, extensions, and deregistrations, in line with local regulations.
Calculate and administer time-off entitlements in line with local labor regulations and internal policies.
Coordinate benefits enrollment activities for new hires and annual enrolment cycles.
Ensure timely and accurate sharing of employee information with Payroll teams for salary payments and statutory processing.
Support exit management and offboarding administration, ensuring all steps are completed accurately and on time.
Support invoice management and requisition creation related to HR vendors and services.
Proactively identify recurring employee questions, process gaps, or operational risks and raise them with HR Business Partners.
HR Systems & General Administration
Maintain accurate, up-to-date employee data in HR systems such as Workday and iCIMS, ensuring data integrity and compliance, and timely resolution of discrepancies.
Monitor and manage the HR case management tool, responding to employee inquiries in line with service-level expectations and escalating complex or sensitive matters as needed.
Ensure adherence to internal HR processes, service-level agreements, and data privacy requirements.
Support internal and external audits by providing accurate documentation and data as required.
Projects, Reporting & Continuous Improvement
Provide operational support for annual and ad hoc HR projects.
Prepare and maintain HR reports, metrics, and operational trackers for stakeholders.
Assist with process documentation, process mapping, and the maintenance of standard operating procedures (SOPs).
Identify opportunities to improve HR operational efficiency, data accuracy, and employee experience, and proactively suggest improvements.
Experience in Human Resources Operations/Administration in a matrix, international organization
Familiarity with HR systems and technologies, experience in process documentation and process mapping is preferred
Knowledge or practical experience with Hungarian and/or other European employment laws and regulations is a great advantage, with a willingness to deepen expertise in this area
Experience working in a HR shared services setup is preferred
Bachelor’s or Master’s degree in any field
Fluent English; Hungarian language fluency is required; any other European language is a plus
Excellent written and verbal communication skills, with the ability to explain HR processes and policies clearly and professionally
Strong interpersonal skills; approachable, credible, and able to adopt a flexible approach
Strong time management skills with proven ability to handle multiple tasks and projects with strong attention to detail
Proactive, solution-oriented mindset with a strong sense of ownership and follow-through
Highly motivated self-starter with the ability to work individually or within a team
Skilled in using Microsoft Office applications including Word, Excel and PowerPoint
Stakeholder relationship management experience with a proven record of accomplishment and experience
Experience in the financial service industry is a plus
